Job Responsibilities:

The Citadel, The Military College of South Carolina is seeking an Associate Director of Auxiliaries Services for the campus.  This role is responsible for planning, coordinating and performing complex administrative and business management activities for Auxiliary. In addition, the role is also responsible for the following:

  • Supervises the Citadel’s Beach Club Manager and the Swain Boating Center/Campus Event Manager.
  • Directs and supervises the administrative and business operations of the Office of Event Management supporting over 400 events in Citadel facilities per year.
  • Prepares and monitors budgets and prioritizes capital projects and expenditures for event venues.
  • Promotes campus venues and administers execution of approximately 150 rental contracts annually; serves as a main administrator of the Event Management Software (EMS) to ensure maximum usage of system functionality and data integrity.
  • Creates and presents complex EMS and event related reports as requested by AVP and Director of Auxiliary Services.
  • Assists AVP and Director of Auxiliary Services with developing and monitoring budgets for auxiliary business units.
  • Receives and deposits monthly commission payments and reconciles reports for various auxiliary contracts, including but not limited to catering, bar services, bookstore, beverage, and snack vending. Ensures that payments are accurate and deposited into the appropriate accounts.
  • Creates online eMarketplace stores in support of departmental and campus events using the TransAct system.
  • Prepares specifications and liaises with the Procurement Department to solicit and evaluate proposals; monitors contractor performance and ensures compliance with contract requirements.
  • Maintains schedule of all Auxiliary Services contracts; develops timelines for the procurement of new contracts, communicates key dates, and tracks submitter requirements. 
  • Plans, implements, and evaluates special projects as assigned in support of department and institutional goals.

 

Minimum Qualifications:

Bachelor’s Degree and relevant experience in business management or public administration. Position requires knowledge of contract and financial management. Knowledge of administrative and business management practices and procedures. Ability to plan, organize and direct administrative and support activities and staff. Ability to formulate and implement administrative policies and procedures. Excellent communication, interpersonal, analytical, and teamwork skills required. Proven ability to effectively present to large and small groups required.

 

Preferred Qualifications:

Experience in higher education auxiliary services preferred.  EMS, Banner, and Transact systems experience a plus.
