Job Responsibilities:

The Citadel, The Military College of South Carolina is seeking an applicant for a Executive Assistant to the Dean of Engineering.  Under limited supervision of the Dean of Engineering, the Executive Assistant serves to support the Dean of Engineering, providing highly involved, complex and diversified support to the Dean, as well as liaison to all School of Engineering departments. This role is responsible for the following:

  • In coordination with School of Engineering department chairs receive and coordinate the following: course substitution requests, professional development requests, faculty and department head evaluations, EPAFs, travel and purchases with School of Engineering funds, School-wide calendar, and School website updates.
  • Under the direction of the Dean, organize and implement arrangements for School-wide faculty meetings, department head meetings, and meetings with internal and external stakeholders.
  • Key person to handle all correspondence through the Dean’s office; phone calls, visitors, mailing, etc. 
  • Responsible for maintaining the Office of the Dean files in a coherent and easily accessible manner, including confidential records and files on faculty, e.g. probationary reviews, salary, tenure, and promotion and budget/grant management.
  • Manages the Dean’s calendar for meetings, travel, etc. as well as sets up the travel arrangements for the Dean, processes reimbursements, and purchases.
  • Responsible for managing School of Engineering budgets, grants, reports, purchases, reimbursements, assessments, and Dean-level ABET activities.
  • Coordinate scheduling, planning, setup, and execution of School of Engineering events for the Dean, including the Academy of Engineers, Executive Advisory Board meetings, and other programs and grant-funded projects, including BIIG DOGS, ADAPT, and KEEN.

 

Minimum Qualifications:

High school diploma and progressive administrative experience. Position requires excellent working knowledge of office and management principles.  Must have good Interpersonal, management, judgement and decision-making skills that will allow for effective working relationships with individuals at all levels of the organization and the college community. Employee must be able to work independently without supervision, motivated with ability to bring closure to tasks, be able to use sound judgement in dealing with all aspects of matters pertaining to the office, and ability to work with individuals of all levels of the organization to ensure tasks and or assignments are met in an efficient and timely manner.

 

Preferred Qualifications:

 Bachelor's degree. Executive administrative experience preferred.
