Job Responsibilities:

The Citadel, The Military College of South Carolina is seeking an Administrative Assistant to work for the Professor of Aerospace Studies and the AFROTC Detachment staff. This role will be responsible for planning, coordinating, and supporting executive-level duties for the PAS who also serves as the Air Force ROTC (AFROTC) Detachment Commander at one of the largest AFROTC detachments. In addition, this role will assist with the following:

  • Maintains commander's calendar, serves as receptionist, arranges interviews and appointments with staff, and handles all correspondence with AF agencies, college officials, cadets, parents, and others. Sorts, organizes, and coordinates incoming correspondence for PAS’s signature.
  • Plans annual spending, executes purchases, tracks expenditures and reconciles spending with the university at the direction of the AFROTC Detachment Commander under the budget authority of the Associate Provost of Academic Affairs.
  • Must handle any other duties as determined by the Detachment Commander and staff; assists Commander when required with coordination of class schedule, cadet actions, conduct final review of paperwork and correspondence before submitting to commander for his action.
  • Assist Commander, Operations Officer, and staff with all duties during personnel arrival/departure to ensure cadet actions and administrative requirements are met in a timely and accurate manner.
  • Assist commander in reviewing hiring packages for cadre to ensure members will meet hiring requirements for The Citadel. Assist in preparing the hiring package for submission to the Provost and President of The Citadel.
  • Directs cadets, parents and prospective students to appropriate cadre members. Provides expertise in Cadet Personnel Management and processes cadet actions and acts as the focal point between cadre and the Registrar for all cadet drops/adds.
  • Assist cadre with in-processing (computer accounts, coordinate parking passes, school IDs, phone set-up and permissions).
  • Coordinate with the Registrar’s office and staff to create course schedules each semester. Reserve classrooms, labs and Auditoriums for training. Coordinate DV visits with Citadel staff.

 

Minimum Qualifications

A high school diploma and three (3) years of clerical experience; OR an associate degree in a related field with a minimum of one (1) year of experience.  Must be efficient in Microsoft office suites.  Must have a strong attention to detail and positive time management skills.

 

Preferred Qualifications

Military experience is a plus.
