Job Responsibilities:

The Citadel, The Military College of South Carolina seeks an Administrative Assistant for the Baker School of Business.  This position is the front-office Administrative Assistant for Baker School of Business. The following list outlines the significant responsibilities of the position.

  • Receives and assists visitors to the campus; answers telephone and emails and assists walk-ins. Assists Department Heads as necessary. Ensures that the front office has proper coverage.
  • Provides support services for faculty and assists the Dean's Assistant as needed.
  • Supervises, monitors, and coordinates the work of Graduate Assistants and Work Study Students. Oversees the hiring process for student workers with Human Resources and Financial Aid. Provides all training for the new student hires; oversees all work request submissions to the student workers and monitors the proper distribution of the requests to ensure they are completed in a timely manner. Maintains and revises the student workers’ handbook as necessary.
  • Acts as timekeeper for all student workers, including monitoring and approving leave, changing any OT to CTE, correcting any missed punches, and ensuring timekeeping records are accurate and valid.
  • Maintains working levels of all office supplies and educational supplies by ordering based on departmental needs; is responsible for all front office equipment and copiers, including repair services as needed, and maintains the proper toner for each.
  • Responsible for all digital signage throughout the building.
  • Manages all aspects of key distribution to faculty and staff, including maintaining and updating the key log.
  • Will be the liaison for the Baker School of Business Event Management System (EMS) to book and approve classrooms, conference rooms, and other areas as needed. Ensures that all rooms are maintained and in a presentable condition.
  • Assists with the operations of AV equipment in reserved rooms as needed.
  • Act as Event Manager for the School of Business. Attend all IPC monthly meetings.

 

Minimum Qualifications:

Must have a High School diploma plus four (4) years of related clerical experience OR a bachelor's degree. Employee must have excellent communication skills, both oral and written, as well as the ability to work with the public, including undergraduate students, graduate students, and faculty. Should be able to handle diverse tasks, troubleshoot routine inquiries and situations, and work in a team environment. Employee must have Microsoft Office skills, especially Outlook and Excel, and the ability to learn new computer programs. May be required to adjust work hours for special events.
