Job Responsibilities:

The Citadel, The Military College of South Carolina is seeking an applicant for a Executive Assistant to the Provost.  Under limited supervision of the Provost and Dean of the College, the Executive Assistant serves to support the Provost and Dean of the College, providing highly involved, complex and diversified support to the Provost, as well as, liaison to all academic departments. This role is responsible for the following:

  • Special Functions under the supervision of the Provost in collaboration with the Associate Provost for Academic Affairs, leads The Citadel Commencement Committee which is responsible for planning, executing, and assessing the annual commencement ceremonies.
  • In coordination with deans, academic department chairs, and Human Resources liaison, receive and coordinate the following: All faculty Academic & Military Promotions, faculty emeriti, faculty sabbatical, Faculty Roster updates.
  • In coordination with deans, academic department chairs, faculty, including liaison with the President’s office organize and implement arrangements for the following: Spring and Fall General Faculty meetings, Faculty Milestones Dinner, Freshman Convocation.
  • Key person to handle all correspondence through the Provost office; phone calls, visitors, mailing, etc. 
  • Responsible for maintaining the Office of the Provost files in a coherent and easily accessible manner, including confidential records and files on faculty, e.g. salary, degrees, tenure, and promotion.
  • Manages the Provost calendar for meetings, travel, etc. as well as sets up the travel arrangements for the Provost.
  • Coordinate scheduling of key academic meetings and prepare and distribute notices, and agendas to deans, departmental chairs, and other groups as requested by the Provost. 


Minimum Qualifications:

High school diploma and progressive administrative experience. Position requires excellent working knowledge of office and management principles.  Must have good Interpersonal, management, judgement and decision-making skills that will allow for effective working relationships with individuals at all levels of the organization and the college community. Employee must be able to work independently without supervision, motivated with ability to bring closure to tasks, be able to use sound judgement in dealing with all aspects of matters pertaining to the office, and ability to work with individuals of all levels of the organization to ensure tasks and or assignments are met in an efficient and timely manner.


Preferred Qualifications:

 Bachelor's degree. Executive administrative experience preferred.
