Job Responsibilities:

The Citadel, The Military College of South Carolina is accepting applicants for an Administrative Assistant in the Department of Mechanical Engineering.  This role will work directly with the Department Head of Mechanical Engineering Leadership and provide support for the School of Engineering. 

The Administrative Assistant will be responsible for and assist with the following:

Administrative Support

  • Handles scheduling, correspondence, telephone calls, and mail
  • Manages room reservations for assigned building
  • In collaboration with Department Head, establishes processes and procedures for the department
  • Maintains files of office correspondence, documents, and reports
  • Serves as a liaison between the departmental offices to the School of Engineering
  • Assists in the coordination and minutes for Spring and Fall Advisory Board Meetings
  • Coordinates reimbursement process for department staff/faculty
  • Orders office, lab, faculty start-up supplies and equipment
  • Assists faculty with general questions and issues
  • Collects and coordinates catalog changes

Student Services/Academic Support

  • Provides support for student organization meetings, including catering, room requests, and other logistics as necessary
  • Assists with the collection of student data for academic department, such as graduation, attrition, retention, and job placement
  • Collaborates with Director of Student Engagement to provide and improve services to students
  • Assists with the scheduling of Spring, Summer and Fall classes for assigned departments

Recruiting/Marketing/Outreach

  • Maintain and update department webpages, adding new content or creating new pages.
  • Assists with the support and logistics of special events
  • Assists with the development of marketing collateral, including recruitment materials, publications (print and electronic), and other electronic media
  • Attends local recruiting events on behalf of all SOE programs
  • Responds to inquiries from prospective students and the general public about engineering programs at The Citadel

Minimum Qualifications:

Must have a high school diploma or higher.  Must have previous experience working as an administrative assistant.  Expertise in Microsoft Office.  The ability to problem solve in a dynamic and fast-paced environment, along with the ability to work independently in completing special projects is required.  May be required to adjust work hours for special events and training.
