GENERAL RESPONSIBILITIES: General responsibilities are to oversee the gift receipting process daily and annually for The Citadel Foundation, The Citadel, The Citadel Brigadier Foundation, The Citadel Alumni Association and The Citadel Real Estate Foundation.

SPECIFIC DUTIES INCLUDE:

  • Provide timely and accurate gift processing. Handles complex donations to include wire transfers, stocks, planned gifts, matching gifts and other transactions as needed. Manage the payroll deductions process in coordination with payroll offices
    • Personal or Business checks, ACH, Direct Debit, Stock, Gifts In Kind, credit cards, Citadel faculty payroll, TCF staff payroll, and planned gifts
    • Importing gifts from Imods
    • Updating memberships for Brigadier Foundation, Diamond Dogs, Basketball, Wrestling, Fine Arts, Football
    • Adding registrations to payments received for events, to include Scholarship Donor Days, Homecoming Golf, Kickoff Classic Golf etc.
    • Processing donor matching gift requests
    • Confirming gifts via online portals
    • Retrieving donor details from online portals once ACH or check is received
    • Gift adjustments
    • Gift processing to include:
  • Oversee the creation and mailing of pledge reminders and receipting process for all donations.
  • Maintain comprehensive electronic gift documentation via PaperSave in an organized manner. In collaboration with the Director of Donor Compliance, complete the final steps in the Gift Agreement/Letter of Intent/MOU process, including maintaining electronic copies of documents
  • Creating new appeal and fund records in Raiser’s Edge and new project records in Financial Edge, as well as making requested changes.
  • Identify any discrepancies and assign recognition credits, attributes, pledge adjustments, link proposals, and updating appeal codes.
  • Scan checks to deposit directly to the bank and prepare cash deposits for the bank and process related batches
  • Respond to gift and data inquiries from colleagues
  • Establishing donor pledges
  • Contact donors as needed regarding gift related errors, including declined credit cards, incomplete checks, and unspecified designations. Ensure biographical information for donors is complete and accurate

  • Research giving history as needed and respond to gift and data inquiries from colleagues
  • Assisting with events as needed
  • Other duties as assigned

 

REQUIRED QUALIFICATIONS:

• Two (2) or more years direct experience in gift processing, preferably in a higher education setting
• Familiarity with Raiser’s Edge, Financial Edge,Import-O-Matic, Anthology Encompass (iModules), and GiveCampus
• Understanding of CASE global reporting standards and PCI DSS security guidelines
• Highly organized, able to multi-task and track multiple projects
• Superb customer service
• Strong interpersonal skills
• Excellent time management and attention to detail
• Excellent verbal and written communication skills
• Bachelor’s Degree from an accredited institution of higher education
• Familiarity or affinity for The Citadel Foundation
